Last updated 9 October 2026

1 About this policy

TAR Creations Pty Ltd trading as Powerhouse Gym Performance & Recovery Centre (“Powerhouse”, “we”, “us” or “our”) respects your privacy.

This policy explains how we collect, hold, use and disclose personal information when you enquire about, purchase or use our gym, classes, recovery facilities and related services, visit our website or interact with us online.

2 Information we collect

Depending on how you interact with us, we may collect and hold:

·       Your name, date of birth, email address, telephone number, address, suburb and postcode.

·       Emergency contact details.

·       Membership, booking, attendance and facility access records, including access tag information.

·       Payment, billing and transaction information.

·       Enquiries, feedback, complaints and communications with us.

·       Health questionnaires, injury details and other health information relevant to safe participation in our services.

·       Fitness assessments, body measurements and InBody body composition results.

·       Member identification photographs and CCTV footage.

·       Marketing preferences and information you provide through promotions or enquiry forms.

·       Website information such as your IP address, device and browser details, pages visited and interactions with our website.

Health information is sensitive information. We seek your consent to collect it unless collection is otherwise permitted or required by law. We collect only information reasonably necessary for our functions and services.

3 How we collect information

We generally collect information directly from you through membership applications, questionnaires, bookings, assessments, purchases, conversations, emails, telephone calls, our website and social media enquiry forms.

We may also collect information through facility access systems, CCTV and the software used to provide our services. Where appropriate and permitted by law, we may receive information from your authorised representative, parent or guardian, or another service provider.

If you provide an emergency contact’s details, please let that person know you have provided their information to us.

4 Why we collect and use information

We collect, hold, use and disclose personal information to:

·       Respond to enquiries and assess eligibility for offers or services.

·       Manage memberships, passes, bookings, attendance and the services you request.

·       Process payments, administer accounts and manage overdue amounts.

·       Support fitness assessments and safe participation in gym, class and recovery services.

·       Send relevant booking, membership, facility and service updates.

·       Manage facility access, safety, security and incidents.

·       Handle feedback and complaints and improve our services and website.

·       Meet applicable legal and record keeping obligations.

·       Send promotional communications where permitted by law and consistent with your preferences.

When you submit a Facebook or Instagram enquiry form, we use your details to respond to that enquiry. Submitting an enquiry does not, by itself, mean you have agreed to unrelated ongoing marketing.

Where practicable, you may make general enquiries anonymously or use a pseudonym. Some services require identification or other details for access, payment or safety. If necessary information is not provided, we may be unable to provide the requested service.

5 When we share information

We may disclose relevant personal information to:

·       Authorised staff and contractors who need it to perform their duties.

·       Membership, booking and access system providers, including ClubFit.

·       Payment processors and financial institutions.

·       Website hosting, cloud storage, IT support and security providers.

·       Email, SMS and customer communication providers.

·       Meta, where relevant to Facebook or Instagram enquiries and advertising.

·       Professional advisers, insurers and debt collection providers where reasonably necessary.

·       Government agencies, regulators or other parties where required or authorised by law.

We limit access and disclosure to information relevant to each recipient’s role. Health information receives additional care and is used or disclosed with consent or as otherwise permitted by law.

Independent practitioners operating at our premises may have their own privacy policies. We do not automatically share your health information with them simply because they operate at our premises.

6 Service providers and overseas information handling

We use ClubFit for our membership database, Microsoft for email, Squarespace for our website, InBody for body composition services, and Meta for Facebook and Instagram enquiries and advertising.

Some providers may store, process or access personal information outside Australia. Depending on the service and its configuration, overseas locations may include the United States and, for InBody services, Singapore and South Korea. Other locations may apply through providers’ related companies and subcontractors.

Where we disclose personal information overseas, we will take reasonable steps required by applicable Australian privacy law to protect that information. Publishing this policy does not itself constitute your consent to waive privacy protections.

For questions about overseas information handling, contact info@powerhousegymqld.com.au.

7 CCTV and photographs

We use CCTV for safety, security and incident management. Access to footage is limited to authorised people and relevant service providers. Footage may be disclosed to authorities, insurers or other parties where necessary and permitted by law.

We may use member photographs for identification and membership administration. We seek appropriate permission before using identifiable photographs or videos for promotional purposes. Please contact us if you have a concern about a photograph or recording.

8 Website and online technologies

Our website may use cookies and similar technologies to support its functionality, understand usage and, where enabled, measure advertising performance. You can manage cookies through your browser settings, although disabling them may affect some website functions.

Our website and online communications may link to other websites or platforms. Their information handling is governed by their own privacy policies.

9 Marketing preferences

You can opt out of promotional emails or messages using the unsubscribe option provided or by contacting info@powerhousegymqld.com.au.

Opting out of marketing does not prevent us from sending necessary communications about your membership, payments, bookings, safety or services.

10 Storage security and retention

We hold information in electronic systems and, where relevant, paper records. We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Access is limited according to business need. No storage or transmission system can be guaranteed completely secure.

We retain information for as long as reasonably necessary for the purposes for which it was collected and to meet applicable legal obligations. When information is no longer needed, we take reasonable steps to destroy or de-identify it, subject to any legal retention requirements.

11 Access and correction

You may request access to personal information we hold about you or ask us to correct inaccurate, incomplete or outdated information by contacting info@powerhousegymqld.com.au.

We may need to verify your identity before responding. We will respond within a reasonable period and in accordance with applicable law. If we refuse access or a correction request, we will explain the reason, where permitted, and how you can complain. Please notify us when your contact details change.
